AI as a collaborator, not a decision-maker
Ibis Flow uses AI to help your team work faster and with more context — not to replace your judgement. Every AI-generated output in Ibis Flow is an input to a human decision, not the decision itself.
This page explains which features use AI, what the AI does and does not do, and what responsibilities remain with you and your team.
What AI does in Ibis Flow
The following features use AI to generate or analyse content:
Story Studio — Ticket crafting
AI analyses ticket drafts and suggests improvements to acceptance criteria, descriptions, and quality gaps. AI-generated suggestions are clearly labelled. You review and decide what to keep.
Estimation — AI briefings
Before a Planning Poker vote, AI generates a briefing that summarises the ticket's scope, complexity signals, and relevant historical work. Briefings are advisory — your team votes independently.
Prioritisation — Scoring and insights
AI generates RICE, WSJF, and MoSCoW scoring signals based on ticket content and stakeholder input. The host reviews and publishes the final prioritised order — AI does not publish decisions.
AI output marking
When AI-generated content is copied or written back to your ticket provider, Ibis Flow attaches a provenance marker (e.g., a comment or metadata field) indicating the content was AI-assisted. This supports transparency with your wider team.
What AI does not do
- Make employment, HR, or performance decisions about any individual
- Publish prioritisation results without host review and explicit approval
- Assign story points or acceptance criteria without a human vote or edit
- Access your ticket system beyond what you have explicitly authorised
- Learn from or retain your organisation's data beyond the current session
- Process special-category personal data (health, ethnicity, biometrics, etc.)
Your responsibility
All AI-generated content in Ibis Flow is advisory. Before acting on AI output — whether copying a story to Jira, publishing a prioritised backlog, or sharing AI briefings with stakeholders — you and your team are responsible for reviewing the content for accuracy and appropriateness.
Ibis Flow is not a high-risk AI system under the EU AI Act. Our AI features are designed for collaborative planning tasks. They are not intended for, and must not be used for, any use case that would require a conformity assessment under Annex III of the EU AI Act.

How we label AI content
Ibis Flow marks AI-generated content at the point of export or write-back. The marker format is visible in ticket comments and metadata:
In-product, AI-generated sections are indicated with an AI badge. You can always identify which content was AI-assisted before you act on it.
The AI models we use
Ibis Flow's AI features are powered by Microsoft Azure AI Foundry (Azure OpenAI Service). The models are hosted in the EU (Sweden West region) with private endpoints and no public internet access.
Microsoft operates and maintains these models as a general-purpose AI model provider. Ibis Flow determines the purpose and use of those models within the product. We do not fine-tune the underlying models on your data.

Not a high-risk AI system
Ibis Flow's AI features are not classified as high-risk AI systems under Annex III of the EU AI Act. Our features are designed for collaborative estimation, planning, and prioritisation — not for decisions that significantly affect individuals' rights, employment, or access to essential services.
We do not make any claim that Ibis Flow is suitable for high-risk use cases without further assessment. If your organisation is subject to sector-specific AI regulations, please assess the suitability of Ibis Flow for your context independently.
